We are seeking a highly motivated and organised Operations Officer to join our tight-knit team in Westminster. This is a pivotal role for an early-career professional with a keen interest in working in a fast-paced think tank in the heart of .
You will act as the engine room of our organisation, supporting the Director of Strategy with operations and liaison, financial administration, and personnel management.
Key responsibilities
Operations and liaison:
- Support the Director of Strategy with daily operational coordination, including office management;
- Manage bookings and logistics for internal and external meetings, including liaison with key stakeholders;
- General assistance with events and external engagement management.
Finance and IT systems:
- Support the Director of Strategy with Finance;
- Provide administrative support for Finance processes (e.g., expense processing, invoice filing);
- Manage software subscriptions (Google Workspace), troubleshoot basic IT issues, and coordinate with external IT support vendors.
Finance and IT systems:
- Support the directors with personnel matters, including maintaining and developing our online personnel management system;
- Track the requests of all personnel (e.g., leave requests, working from home requests, etc.);
- Assist in organising team away days and social activities to foster team cohesion;
- Oversee the internship programme: from recruitment and onboarding to day-to-day coordination of intern activities.
Requirements:
- Graduate (Classification of 2.1 or equivalent or above) or equivalent administrative qualifications;
- Proven experience with bookkeeping, processing invoices, or managing small budgets;
- Knowledge of Xero, Dext and similar administration systems, advanced skills in Google Workspace, and other key IT applications;
- Strong time-management skills with the ability to multi-task in a fast-paced Westminster environment;
- Perfect command of English, attention to detail and an aptitude for learning new software quickly.
- Team worker with a proactive inclination and positive attitude;
- Relevant experience in an operations, office management, or administrative role within the non-profit, charity, or policy sector is a benefit.
Salary: £27,500 per annum (gross)
